Welcome to The Gathering by Chartwells! Our mission is to provide you with exceptional quality, outstanding service and a creative cutting-edge culinary experience. Our professional staff is available to assist in planning your special event Monday-Friday 8:30am - 4:30pm. Please contact our catering coordinator for customized service and menus.

Policies & Procedures

Events must be booked at least seven business days in advance. We understand events arise unexpectedly and will do our best to accommodate late orders, but we cannot guarantee these requests. Specialty items requiring local pick-up are subject to a $25.00 service fee per item. Split orders may be subject to additional fees.

Guaranteed Guest Counts

A confirmed final number of guests is to be specified 3 business days prior to the event. This number is considered the guaranteed guest count.

Guarantee

Menu details along with final guarantees are to be finalized three business days prior to the day of your event. Any food served above the original order will be served at the catering department's discretion.

Event Time

Events are billed in four-hour increments. Events exceeding the four-hour limit will be subject to additional service fees.

Cancellation

We kindly request that cancellations be made five business days prior to the contracted event date. Cancellations made less than five business days will be billed 50% of the contracted total. Events canceled less two business days or less will be billed at 100% of the contracted total.

Serviceware and China

All disposable serviceware will be furnished as accompaniment to all items purchased. Some exceptions apply to orders being picked up. We provide high quality disposable plastic ware. China and glassware are available for an additional charge of $2.19 per person held outside of designated buildings. Events held inside designated buildings will not incur china fees if china is requested.

Linen

Tablecloths are supplied for all food and beverages service tables at events. Tablecloths for non-food tables are available for an additional $7.00 (85s&114s) or $19.00 (90x156x120s) per table.

Food Safety

Food safety and sanitation is a Chartwells priority. Any unused food remains the property of Chartwells catering and cannot be removed from an event in accordance with state health regulations. All condiments and disposables also remain the property of Chartwells Catering.

Tax Exempt

We request tax-exempt forms be faxed to our office three business days prior to the event.

Billing & Payment

A form of payment (purchase order or credit card) is kindly requested three business days prior to the event date. Contracts must be paid in full within one business day following the event. Clients will be charged for the final guarantee or the actual number of attendees, whichever number is greater.

Delivery

Deliveries outside of our delivery area are subject to an additional delivery charge 25% of your contract total. Catering orders will include necessary disposable utensils, dinnerware and condiments in quantities consistent with your order. To avoid a delivery fee, clients may pick up orders at an agreed upon location. Pick-up orders are limited to disposable-ware only.

Special Diets

Special diets are accommodated upon request; we kindly request that your needs be submitted in writing five business days in advance.

Buffets

Hot buffet service is limited to a minimum of twenty guests.

Chef Fee

Action-stations are billed $125.00 with a minimum of 4 hours. Additional hours are billed at $25.00 per hour.

Outdoor Events

An additional set up fee may be applied to events taking place outdoors.

Meeting Room and Equipment

Please reserve all non-food related equipment by contacting your designated on-campus scheduling and event services at Scheduling@SMSU.edu or calling 507-537-7110. Chartwells catering is not responsible to provide, set up, or remove equipment reserved through event services. A $25.00 service fee may be applied to your contract should Chartwells catering need to assist with your set up.

Please ensure a food-staging area and service tables are reserved when a kitchen facility is not available. Equipment must be timed to be set up two hours prior to start of the event. Please ensure venues and buildings are unlocked two hours before the start of the event. A fee of $25.00 may be applied to your contract should we need to return a second time for delivery or pick-up. Clean-up for late-night and weekend functions may occur on the next business day. Chartwells catering is not responsible for equipment or personal belongings left in public areas. Clients will be billed replacement costs for missing or damaged catering equipment or supplies.
